Terms & Conditions

Please read these terms carefully before using our website or booking a treatment. If you have questions, contact us using the details below.

1. Personal Data That We Process

Types of data we collect and the legal basis we rely on under data protection law.

Enquiring Name, email, organisation, message and its content Legitimate interests – we need to read and store your message so we can respond in the way you would expect.
Subscribing Name, email Consent – you have given active consent to receive email updates.
Signing up as a user Name, email Contract – by signing up you enter a contractual relationship, which you can end by stopping usage.
Website functionality Website activity collected through cookies Legitimate interests – we store a small amount of information (usually via cookies) to deliver expected functionality (e.g., remembering order progress).
Signing up as a member Name, email Contract – membership creates a contractual relationship, which you can leave by ending membership.
We follow data minimisation: we aim to collect only what is needed for the stated purpose.

  • Reply to enquiries you send to us.
  • Where you have agreed, send marketing communications by email that may be of interest to you.

We only share data in limited and lawful circumstances.

We will only pass your data to third parties if:

  • You have provided explicit consent to share it with a named third party.
  • A third party processes data on our behalf and we have a compliant data processing agreement in place.
  • We are required by law to share it.

4. How Long We Keep Your Data

We keep data only for as long as needed.

We take data minimisation and removal seriously. We have internal policies to ensure we ask for the minimum amount of data for each purpose and delete it promptly once it is no longer required.

5. Rights You Have Over Your Data

Your rights include access, rectification, deletion and complaints.

  • Where processing is based on consent, you may revoke consent at any time (e.g., “Manage communication preferences” in marketing emails).
  • You may request rectification and/or deletion of your information.
  • You have the right of access to your information.
  • You have the right to lodge a complaint with the Information Commissioner’s Office (ICO) if you feel your rights have been infringed.
Note: using some rights (such as deletion) may make it impossible for us to deliver certain services. Where possible, we will try to respect your rights while continuing to provide services.

6. Cookies & Usage Tracking

Cookies help websites work and help us understand anonymous usage.

A cookie is a small file of letters and numbers downloaded on to your device when you visit a website. Cookies can remember preferences, record basket contents, and count visits.

We also use cookies that do not collect personal information but help us collect anonymous information about how people use our website. We use Google Analytics for this purpose.

7. Modifications

We may update these terms and publish the latest version on our website.

We may modify this policy from time to time and will publish the most current version on our website. If a modification meaningfully reduces your rights, we will notify people whose personal data we hold and is affected.

8. Booking a Treatment

Important terms for consultations, cancellations, appointments and treatment suitability.

Below are the terms on which Pharma Aesthetics provide services to clients. Kindly ensure that you have read and fully understood them before booking any treatment.

It is the client’s responsibility to book the correct treatment if you have been treated elsewhere. If you have overfilled, migrated or lumps due to dermal fillers, you may not be treated. Book a consultation first to confirm suitability.

A) Booking fee and cancellation policy (including consultations)

  • Non-refundable booking fee: £20 or 25% of treatment price (whichever is greater). You may also pay in full.
  • To cancel or reschedule, contact us at least 48 hours before by email/phone: info@pharma-aesthetics.co.uk or 01708 608860.
  • Less than 48 hours notice: booking fee is retained by the clinic.
  • Less than 24 hours notice: full treatment cost is required.
  • No-show or not cancelled/rescheduled at least 72 hours prior: all fees paid are non-refundable.

B) Appointments

  • Please arrive at least 15 minutes early for paperwork.
  • Arriving more than 10 minutes late may reduce treatment time or forfeit the appointment.
  • You will be required to read the full BEFORE and AFTERCARE during your appointment.
  • If bringing a child, you must bring another adult to chaperone. No children under 16 may be left unattended. Failure may result in cancellation and loss of booking fee/treatment value.

C) Treatment courses

  • Courses must be paid in full before the first treatment.
  • All treatments in a course must be taken within 12 months of purchase. Remaining treatments after 12 months are forfeited.

D) Treatment suitability

  • We will assess suitability and advise you if treatment is not appropriate or unlikely to succeed.
  • You must provide all relevant medical details before each treatment. We are not liable for damage caused by failure to disclose details.
  • You agree to follow all care instructions given. These terms do not limit liability for personal injury or death caused by negligence.
